Who we are and how to contact us
This policy describes information handled through digitizedhq.com and enquiries or projects with Digitized HQ. For privacy questions or requests, email contact@digitizedhq.com.
Information you provide
When you contact us by email or WhatsApp, we receive the contact details, message and files you choose to share. A project may also involve business information, website content, invoices and authorised system access. Only provide what is necessary for the enquiry; do not send passwords or confidential records in an initial message.
Technical information
Website delivery, administration and security can involve technical records such as IP addresses, request times, requested pages and browser information. WordPress also uses cookies for login and administration. The Cookie Policy explains relevant browser controls and website features.
How information is used
Information is used to respond to enquiries, assess requirements, prepare proposals, deliver agreed services, communicate about projects, manage payments and records, and maintain the website. Project access is used within the agreed service scope. New uses that require your permission are discussed before they begin.
Service providers and external platforms
Hosting, email, communications and payment providers may process information needed to operate their services. Relevant information may also be shared with a provider you authorise for your project or where disclosure is required by applicable law. We limit information shared for project delivery to what the task requires.
WhatsApp and other external destinations operate under their own privacy policies. Clicking an external link takes you to that provider. Messages or files you send through its service are also subject to its handling arrangements. Depending on the provider, processing may take place outside your country.
Retention
Information is kept for as long as it is needed to handle the enquiry or engagement, maintain necessary business records, resolve a dispute or meet applicable obligations. Project-specific retention and removal requirements can be agreed before sensitive information is supplied. Records no longer needed should be deleted or anonymised where practical.
Access and protection
Access to project information is limited to the work and administration that need it. The method for sharing sensitive material should be agreed before transfer. No website, communication channel or storage system can be guaranteed completely secure.
Your requests
You can ask about information associated with your enquiry or request access, correction or deletion by contacting contact@digitizedhq.com. We may need enough information to verify the request. Some records may need to be retained for an active engagement, a dispute or applicable obligations; where that affects your request, we explain the limitation.
Changes to this policy
This policy is updated when relevant website features or data uses change. New analytics, advertising, forms or embedded services require a review of the information provided here and any applicable consent controls.
